Transport Planner

Duties and Responsibilities

  • Ensuring customer requirements are met within the given time limit, effectively organising and controlling a team of drivers and vehicles
  • Control wastage and costs in aspects of the business eg fuel usage, drivers wages, night out practice and report findings/anomalies to management
  • Routing vehicles to ensure all loads are planned correctly ie to meet clients promised schedules and requirements in a cost effective manner
  • Dealing with clients on a variety of reasons eg checking estimated time of arrivals to arranging delivery schedules, costings and forward planning
  • Liaising with customers for their daily requirements
  • Keep track of next day volume to determine drivers and vehicles required for the following day
  • Preparing driver and agency list for compliance office for the following day
  • Ensuring and organising procedure of any special items of freight that require tail lift, hi-ab or FORS deliveries
  • Control of vehicle hire.
  • Ensure all vehicles are locked in and out, downloaded
  • Ensure no damage on arrival and exit of hire vehicles plus straps and equipment have been removed
  • Transferring remaining consignments to the daily traffic planning sheet and book consignment documents from the previous day
  • Ensure all routine vehicle checks are undertaken and defect system followed
  • Check with garage that all vehicles are available to be used in line with schedule
  • Ensure all weekly vehicle service/MOT requirements are met

Health and Safety

  • Ensure drivers hours and working time directive is adhered to at all times
  • Ensure all agency drivers are inducted as per company procedure
  • Ensure that all drivers have followed H & S procedures when loading goods and there are no damages or potential damages
  • Dealing with incidents ie motor fleet, goods in transit or injury. Ensure details are collated and incident reported in line with company procedure
  • Report and complete any unsafe occurrences through the reporting system

Admin

  • Offering daily assistance to all aspects of the business ie answering phone, driver queries, customer queries and bookings
  • Preparation of data for weekly invoicing to customers
  • Input jobs on VIGO system
  • Ensuring day work sheets are completed, processed and submitted for invoicing

Person Specification

  • Certificate of professional competence in National Road Haulage (desirable)
  • Excellent client management skills
  • Excellent problem solving skills
  • Ability to use IT packages (desirable Vigo/Stirling)
  • Excellent geographical knowledge
  • Excellent negotiation and communication skills
  • Good people management and coordination skills
  • Extensive knowledge of the transportation industry
  • Traffic management
  • Qualified by experience
  • Good rapport with drivers and warehouse employees
  • Flexible
